A Dubai-based multi-business entrepreneur is looking for an Executive Assistant to join his small team and structure his daily workflow. You´ll be working hand to hand with the founder on his successful projects in e-commerce, marketing, and consulting businesses. Your main task is to oversee, plan and organize daily activities.
This role is for someone who can simultaneously work with several projects and processes and stay focused. Someone with a solution-oriented attitude and logical mindset likes challenges and can easily organize himself and the founder.
You will work on various tasks and fulfill an essential role in scaling business operations.
What will you do:
- Manage the founder’s calendar and email account (answering basic queries, highlighting important emails, letting through urgent matters)
- Attend calls, take notes, define next steps, set up next meetings if necessary
- Do the research and prepare reports on different topics.
- Create and plan presentations; create and manage internal documentation: SOPs, instructions; maintain knowledge database, etc.
- Communicate with clients: make follow-ups, collect data, and provide support if necessary.
- Remind the founder and other team members about important tasks and keep them accountable;
- Prepare and manage marketing reports in excel; create visual reports in excel on various subjects using charts and graphics.
- Prioritize tasks, define processes, structure, and organize daily activities.
- Plan and coordinate the founder´s trips, and fulfill other personal requirements.
To succeed in this role, you need to be a real executive with experience working with several simultaneous processes and providing complex support to the founder in his daily business activities.
Main requirements:
- This won't be your first job. You have been working as an Executive assistant before
- You have excellent organizational skills. You are able to see and track the whole process.
- You are proactive and have a solution-oriented attitude.
- You have excellent written and conversational German and good English language skills to conduct communication, navigate within the websites, do research, and create documentation. Fluent German is a must for this position.
- You are fluent in Excel and can use advanced functions like pivot tables
