Our client is a San Francisco-based venture capital firm founder who invests into the diffusion of technology within agriculture and food.
He is looking for a diligent Project Coordinator/Executive Assistant who can maintain daily operations and potentially coordinate a small team - someone with experience in the business or corporate environment, who understands or is interested in learning about Venture Capital.
What will you do:
- Work directly with the founder in planning and prioritizing the workflow
- Be the layer between the founder and the team. Be aware of all developments, affairs and changes, communicate it to the team and manage it in CRM
- Lead and coordinate the work of a small team, set tasks, track if KPI´s are met
- Build and set up process framework and implement sufficient project management; document processes, update knowledge database
- Manage the founder’s CRM including lead research, maintaining networking opportunities, organizing the deal pipeline, and doing ad-hoc tasks regarding concrete opportunities and delegate tasks herein
- Manage the process of recruiting and onboarding new associates (the founder has a wide network, you are not required to do headhunting, the founder has his network)
- Report to the founder by creating reports in excel (or Google Spreadsheets) on different subjects (e.g. Google Analytics); dig into data and create visual reports if required.
- Do basic analysis of various data sources and interpret data sets.
- Maintain monthly invoices and payments receipts.
Requirements:
- You have solid background as an executive assistant or experience in project management in a fast-paced business environment
- You have excellent written and fluent spoken English for communicating with English-speaking stakeholders
- You have experience working with various CRMs and project management tools, like Affinity, Trello, Notion, Google Workspace or other
- You are fluent in Excel and can use advanced functions like pivot tables. You’ve worked with large amounts of data before.
- You are well-organized, diligent, detail-oriented, and a self-starter who doesn’t need reminders.
